Employee Attendance - Leave Type Rules

  • Validation Rules - 

  1. Basic Rules - 

  1. Availed Event - 

  • Start of leave period - Employee can availed the leave from the start date of period 

  • Date of Joining - Leave balance will start from the date of joining of the employee 

  • Birthday - Employee can availed only on date of event 

  1. Leave Period - 

  • Yearly - If the leave balance is given to the employee only one time in a whole year

  • Monthly - User require automatically addition of leave balance every month 

  • Half Yearly - Leave balance will added two times in whole year (6th month duration)

  • Fortnight - Leave balance will added after every 14 days till the leave period

  • Tenure - Only one time leave balance will given to the employee for whole tenure 

  • 2 Years - Leave balance will be added in the leave of employee after every 2 year 

  • 3 Years - Leave balance will be added in the leave of employee after every 3 year

  • 4 Years - Leave balance will be added in the leave of employee after every 4 year

  • 5 Years - Leave balance will be added in the leave of employee after every 5 year 

  • Weekly - Leave balance will be added in the leave of employee after every week till the leave period

  • Multi Date Range - Leave balance will be add automatically after every set date range 

  • Multi Month Range - Leave balance will be add automatically after every set month range 

  1. Leave Duration - 

  • Days - Leave will be given for days 

  • Hours - Balance of leave will be given in hours 

  1. Maximum Leave For The Leave Year  -  In whole year the leave balance will not exceed from the set balance 

  2. Start Form Date - Leave balance will add after the selected date of the month

  3. Allow After Days Of Joining - Leave will given after the days of joining 

  4. Paid Leave - If the leave type is paid. It’s reflection will shown while generating the salary of employee

  • Payment Percentage - How much percentage of salary would be paid

  1. Auto Renew - User wants use the rules setting for the next scheme too 

  • Auto Renew upto - Till date the scheme will auto renewed 

  1. Can Apply in back date - For selected leave type employee can apply in back date 

  2. Can Apply on same date - employee can apply on same date 

  3. Max. no. of Application in leave period - In whole leave period the max application number is set 

  4. Max days In One Application - If user require to set the max days of one application 

  5. Min Days In One Application -  If user require to set the min days of one application (like - half day 0.5)  

  6. Application Submit in Advanced At Least before - If user want to set that the employee needs to submit the application before some days 

  7. Application Cannot be Submitted earlier Then - If the user wants that the employee can’t submit the application earlier 

  8. Back Date application submitted not later than - If the user wants that the employee can submit the application in back date 

  9. Allow Half Day - Defined leave type allowed the employee to apply for half day 

  • Max allowed in specified periods -  Needs to defined the max number of half days in whole period 

  • Allow Max Leaves In Period - Needs to set the period of the defined maximum half day - Fortnght, Leave Period, Monthly, Quarterly, Halfyearly 

  1. Applicable for genders  - If the defined leave types is based on particular gender like - for anyone, female, male 

  2. Applicable for Marital Status - If the defined leave types is based on particular marital status like - married, widowed, single, separated, other 

  3. Applicable for religion - If the defined leave type is based on religion like - hindu, muslim, bodh, christain, jain, OBC, sikkh 

  4. Allow Negative balance - User wants that th employee can apply in negative balance of leave 

i) Max allow negative balance - Max negative balance for the leave period 

  1. Minimum gap between to instances - Minimum gap between the application

  2. Apply Leave During Notice Period - User wants that the employee can apply for the defined leave during the notice period 

  3. Allow to be claimed only on date of event - Defined leave type is allow to claimed only on date of event like - birthday, wedding anniversary, birthday and wedding anniversary 

  4. Leave attachment is mandatory for this leave type - Defined leave type require attachment 

  5. Send a carbon copy (cc) of all leave workflow mails - Organisation wants that the mail for leave submit will received to the other employee also who is not an approver and sanctioner


2. Clubbing Rule - User require that the defined leave type can be clubbed and not clubbed with other leave type

  1. This leave can’t be taken together with - employee is not able to apply for the defined leave type after the selected leaves 

  2. Consider leave balance from leave type - 

  3. Can be availed only when balance is zero for - defined leave type only clubbed with the other leave type when the their is balance of another leave type is zero 


  • Leave Rules - 

  1. General Rules - 

  1. Don’t count on holiday - User wants that, while applying for the defined leave type the duration of the leave will not count the holiday 

  2. Don’t count on weekoff - User wants that, while applying for the defined leave type the duration of the leave will not count the weekoff 

  3. Allow clubbing weekends with leave - User wants that the applied leave will count the weekends in the leave duration only on - 

i) Ahead of the leave period - if the weekends will come before the duration of applied leave 

ii) After the leave period - if the weekends will come after the duration of applied leave 

iii) Before and after the leave period - if the weekends is coming before and after the leave duration 

  1. Allow clubbing holidays with leave - User wants that the applied leave will count the holidays in the leave duration only on - 

i) Ahead of the leave period - if the holidays will come before the duration of applied leave 

ii) After the leave period - if the holidays will come after the duration of applied leave 

iii) Before and after the leave period - if the holidays is coming before and after the leave duration

  1. Apply Sandwich - clubbed the weekends/holidays coming between the leave duration like - leave from saturday to tuesday will count sunday also 

2. Carry Forward Rules - User wants to set the rule for the leave type which balance is carryforwarded after a specific period. 

  1. Policy for leave in excess of carry forward limit - Rules for defined leave after the limit reached to the max 

  • Lapes excess leave - lapes the extra leave 

  • Encash excess leave - able to encash the extra leave balance 

  • Transfer excess balance to another leave type

  1. Carry Forward within -  defined the period where the balance will carry forward - yearly, half yearly, monthly, fortnight, tenure, 2 year, 3 year, 4 year. 5 year, weekly, multi date range, multi month range

  2. Max carry forwarded - Max carry forward limit for the selected period 

  3. Max limit after carry forward - Max limit of the balance after carry forward 

  4. Annual limit of balance allowed to be carried forward - Annual limit of carry forward balance 

3. Default Balance Rules - 

  1. Balance Allotment For Leave Period(according to leave period) - User can set the default balance of the defined leave type for the defined leave period 

  2. Allotment date - on which date the balance will allotted to the employee 

  3. Balance If DOJ Before Default Date - user can set the default balance for the employee who’s joined before the default allotment date 

  4. Balance  If DOJ After Default Date - user can set the default balance for the employee who’s joined after the default allotment date
